The Planning Crew
1. Welcome to The Planning Crew
The Planning Crew is an online event-planning platform designed to help you bring your event ideas to life.
Our website and services are operated by The TAP Sports Group Limited, trading as The Planning Crew, a company registered in England and Wales under company number 16877833.
Our registered office is 167–169 Great Portland Street, 5th Floor, London W1W 5PF, United Kingdom.
Website: www.theplanningcrew.com
Email: hello@theplanningcrew.com
These Terms and Conditions explain how our service works, what is included in your purchase and what you can expect when using the platform.
By registering, purchasing a plan or using The Planning Crew, you agree to these Terms. Nothing in them affects your rights under applicable consumer law.
2. What The Planning Crew offers
The Planning Crew provides online tools to help individuals, businesses and organisations plan their own events.
Depending on your chosen plan, you can develop an event brief, explore AI-generated event concepts, create proposals and presentations, and organise the practical details of your event in your personal Planning Room.
This includes managing budgets, guests, venues, suppliers, timelines and event-day arrangements.
The Planning Crew is a self-service planning platform, not an event-management agency. We provide the tools and creative guidance to help you organise your event, but we don't make bookings, enter into contracts with suppliers or manage events on your behalf.
You remain responsible for the decisions and arrangements you make.
3. Creating your account
You must be at least 18 years old to purchase a plan.
When creating an account, please provide accurate information and keep your login details secure.
Your account is intended for your authorised use. You should not share access with anyone who is not permitted to use it or attempt to access another customer's information.
If you believe someone has accessed your account without permission, please contact us at hello@theplanningcrew.com.
4. Starting with your Discovery Brief
You can begin planning your event by completing a Discovery Brief, which helps us understand your ideas, objectives, preferences and requirements.
You can start and save your Discovery Brief before making a purchase.
Once you've purchased a suitable plan, you'll be able to access the AI-generated event concepts and planning features included in that plan.
5. Our plans and pricing
We currently offer two options.
The Complete Event Planner — £79
A one-time payment of £79, including applicable UK VAT, gives you access to the planning tools for one event.
Your purchase includes an initial set of three AI-generated event concepts, up to two additional concept regenerations under the platform's generation rules, and access to the relevant proposal and Planning Room features.
You'll have 12 months of paid editing access from your purchase date.
This plan does not renew automatically.
Deleting your event does not create an additional event allowance.
Multi-Event Plan — £199 per year
Our £199 annual subscription, including applicable UK VAT, allows you to create up to five new events during each subscription year.
Each eligible event includes the relevant concept-generation and planning features.
Your subscription renews annually unless you cancel before the next renewal.
Unused event allowances do not carry forward, and deleting an event does not release an allowance already used.
When your subscription renews successfully, you receive an allowance for five new events for the new subscription year. Events created during previous subscription years remain available to edit while your subscription remains active and paid.
We will clearly display the price and renewal information before you complete your purchase.
6. Payments
Payments are processed securely through Stripe.
The price and any applicable taxes or additional charges will be shown before you confirm your purchase.
We do not store complete payment-card numbers or card security codes in our application.
If you choose the annual Multi-Event Plan, you authorise the recurring subscription payments disclosed during checkout, unless you cancel future renewal.
7. Managing or cancelling your subscription
If you have the Multi-Event Plan, you'll be able to manage and cancel future renewal of your subscription through a self-service billing facility in My Account.
Cancelling renewal means you won't be charged for another subscription year. Unless you have a separate right to a refund, your paid editing access will continue until the end of your current paid period.
Your saved event information will not be automatically deleted when you cancel.
The £79 Complete Event Planner is a one-time purchase and does not require subscription cancellation.
If an annual renewal payment is unsuccessful, a seven-day grace period may apply before editing access is restricted.
8. Returning to your previous events
We understand that previous event plans can be useful when organising something new.
When your paid editing access ends, your saved event information remains in your account, allowing you to return to view previous plans and use the export features available to you.
To create new events or continue editing, you'll need an appropriate paid plan.
If you renew your Multi-Event Plan, previously created events remain available for editing during your new paid subscription period, alongside your allowance for five new events.
You can delete individual events even after your paid editing access has ended.
Information is retained and deleted in accordance with our Privacy Policy.
9. AI-generated event ideas
The Planning Crew uses artificial intelligence to create personalised event concepts based on the information you provide.
These concepts are intended to inspire and support your planning. As with any creative tool, the results may sometimes need reviewing, adapting or checking.
Please verify important details such as costs, supplier availability, venue suitability, accessibility and practical arrangements before making commitments.
We cannot guarantee that every concept will be unique or perfectly suited to your preferences.
You should avoid including unnecessary personal or sensitive information in your Discovery Brief.
10. Planning your event
The Planning Crew gives you the tools to organise your event, but you remain responsible for the arrangements you make.
This includes selecting and confirming venues and suppliers, agreeing prices and contracts, obtaining necessary permissions or insurance, managing health and safety requirements, and ensuring your event is suitable for its guests.
Any venue or supplier information you include in the platform should be checked directly with the relevant provider.
The Planning Crew does not guarantee the availability, pricing or performance of third-party services.
11. Your guests' information
You can use The Planning Crew to manage guest lists, RSVPs and other information relevant to your event.
You are responsible for ensuring that the personal information you enter has been collected and used appropriately.
Please take particular care with dietary requirements, allergies, medical details and accessibility information.
Our Privacy Policy explains how we handle information entered into the platform.
12. Your content and ideas
The information, notes and other original material you enter into The Planning Crew remain yours, subject to any rights held by others.
You give us permission to use and store that material as needed to provide the service and operate its features.
You should only upload material you are entitled to use.
AI-generated concepts are provided for your use in planning your event. Similar ideas or content may also be generated for other customers, and we cannot guarantee exclusive rights over AI-generated material.
13. Our website and materials
The Planning Crew's branding, website design, software and original platform materials belong to us or our licensors.
Purchasing a plan gives you permission to use the platform for its intended purposes. It does not transfer ownership of the software or underlying technology.
Please don't copy, resell, interfere with or misuse the platform, except where permitted by law.
14. Using the platform responsibly
We ask that customers use The Planning Crew lawfully and respectfully.
You must not attempt to access another customer's information, interfere with the website's security, upload malicious material or use the platform for fraudulent or unlawful purposes.
Where reasonably necessary, we may restrict access to protect the platform, other customers or our legal obligations.
15. Availability of the service
We work to keep The Planning Crew available and functioning reliably, although occasional maintenance, interruptions or technical problems may occur.
We may update the platform to improve its features, maintain security or meet legal requirements.
Where changes affect paid services, we will respect our contractual obligations and applicable consumer rights.
16. Cancellations and refunds
We want customers to understand their purchasing and cancellation rights.
Our Cancellation and Refund Policy explains how to cancel an annual subscription, request a refund and contact us if something goes wrong.
Depending on your circumstances and the applicable law, you may have statutory cancellation rights, including rights relating to online purchases.
The rules can differ between digital content and ongoing digital services. We will provide any legally required information and obtain any necessary consent or acknowledgement before relying on an exception to a statutory cancellation right.
Nothing in these Terms or our Refund Policy removes your statutory consumer rights.
17. If something goes wrong
If you experience a problem with The Planning Crew, please contact us at hello@theplanningcrew.com so we can investigate and help resolve it.
Our service provides event-planning tools rather than professional event-management, legal, financial or safety advice.
We are not responsible for independent decisions or actions taken by venues, suppliers or other third parties, except where applicable law provides otherwise.
Nothing in these Terms excludes or restricts liability where doing so would be unlawful, including liability for fraud or for death or personal injury caused by negligence.
Your statutory rights remain unaffected.
18. Closing your account
If you would like to close your account, please contact hello@theplanningcrew.com.
For your security, we'll ask you to verify the request before proceeding.
If you have an active subscription or an unfinished payment, we'll need to resolve that first.
Once verified and eligible for closure, your account and associated active planning information will be removed through our secure deletion process, subject to any information we must or may lawfully retain.
Closing your account does not automatically entitle you to a refund.
19. Changes to these Terms
We may update these Terms to reflect changes in our services, business or legal requirements.
The latest version will be available on our website. Where required, we'll notify customers of significant changes.
Changes will not remove rights already acquired under an existing purchase unless permitted by law.
20. Governing law
These Terms are governed by the laws of England and Wales, subject to any mandatory consumer protections that apply to customers in other jurisdictions.
Nothing in these Terms removes any rights you may have to bring a claim in a court available to you under applicable law.
21. Contact us
If you have questions about these Terms or your use of The Planning Crew, please contact us.
